Background Company A had a large outbound sales force and multiple branch offices throughout Canada. They were in the process of registering for ISO 9001 and found that they had no version control of common internal documents and forms. In one particular case, there were actually fourteen different versions of the same document circulating throughout the company! Challenges Because the company was spread out and the sales force was constantly on the road, we needed to offer a solution that was not limited by geographic location and connectivity speed. We also needed to standardize one document archive that would be accessible company wide to promote the ISO Best Practices Manual that was being implemented. Solution ON-LINE implemented a password protected "employee area" to work in conjunction with their web site. Since this is a web-based solution, remote offices and sales people need only an Internet connection and a standard web browser to access the online archive and download common forms, technical specification sheets, power point presentations, and other materials. We also customized the design of the area to act as a homepage portal so that all employees have a standardized look to their browser that includes common functions and links. This enabled all communications from Head Office to be distributed effectively throughout the organization via the portal website. Result ·
